Earn relevance before asking for attention.

A responsible outbound email connects a verified public or first-party trigger to a plausible, clearly qualified problem. It identifies the sender and reason for contact, avoids fabricated familiarity, offers useful proof, and makes both the next step and the option to decline easy to understand.

    Verify the relevance trigger

    Record where and when the trigger was observed and why it relates to the recipient's role. Remove any inference that depends on private motives, sensitive traits, or unverified activity.

    Check: Every personalized statement is current, attributable, and appropriate to use.

    State a qualified reason for contact

    Connect the trigger to a possible operational issue using tentative language, then state the relevant capability and evidence without implying knowledge you do not have.

    Check: The opening remains accurate if the recipient's needs differ from the hypothesis.

    Make the ask proportionate

    Request one low-effort next step that matches the evidence, such as permission to send a short example. Identify the sender and avoid deceptive threading or manufactured urgency.

    Check: The recipient understands who is writing, why, and what accepting the ask entails.

    Plan bounded follow-up and suppression

    Give each follow-up new relevant information, cap the sequence, and stop on an opt-out, invalid basis, clear lack of fit, or other suppression event.

    Check: The sequence honors consent and channel rules rather than optimizing only for replies.
